Understanding User Roles in QuotaGuard
QuotaGuard accounts support multiple users under a single subscription. Each user is shown with a small icon in the Users panel that indicates their current role or status.
There are three role indicators:
Star (★) — Manager. The account owner and primary user.
Person figure — Team Member. An invited user who has accepted their invitation.
Envelope — Invited. An invitation has been sent but not yet accepted.
Manager
The Manager is typically the user who originally signed up for the account. The Manager can:
- Invite new users to the account
- View all users attached to the account
- Receive all notification emails, including usage alerts and limit warnings
If you signed up for QuotaGuard directly, you are the Manager on your account. For accounts created through a platform integration (such as Heroku or AWS), user roles are managed by that platform.
Team Member
Team Members are users who were invited by the Manager and have accepted the invitation. They can access the account dashboard but have limited permissions:
- They cannot invite additional users
- They cannot see the full list of users on the account
- They only receive usage limit notification emails (for example, when a usage threshold is reached)
Invited
The envelope icon appears next to a user who has been sent an invitation but has not yet accepted it. Once they accept, their icon changes to the person figure.
If a user’s icon stays as an envelope, ask them to check their spam folder, or resend the invitation.
Email Notifications by Role
Billing-related emails (receipts, failed payment notices) are sent by Stripe directly and are not controlled by QuotaGuard roles.
| Notification Type | Manager | Team Member |
|---|---|---|
| Usage limit warnings | Yes | Yes |
| Subscription changes (cancellation, plan changes) | Yes | No |
